EcoCosm, Inc. (“EcoCosm,” “we,” “us,” or “our”) respects your privacy. This Privacy Notice explains what information we collect through our website at ecocosminc.com (the “Site”), through our energy engineering and related services, and through our software tools — including our QuickBooks Online integration — and how we use, share, and protect it.

1. Information We Collect

Information you provide to us

  • Contact and inquiry information — when you fill out a form, request a proposal, or email us: your name, company, email address, phone number, and the contents of your message.
  • Career applications — our job applications are handled through a third-party platform (LinkedIn). Information you submit to apply is collected and processed by that platform under its own privacy policy; we receive application details from it for hiring purposes.
  • Client and project information — information you share with us in the course of providing our services.

Information collected automatically

When you visit the Site, we may automatically collect certain technical information, such as IP address, browser type, device information, pages viewed, and the dates and times of visits, using cookies and similar technologies such as website analytics.

2. How We Use Information

  • Respond to inquiries and provide proposals, quotes, and services;
  • Communicate with you about projects, updates, and — where permitted — marketing that may interest you;
  • Evaluate job applications;
  • Operate, maintain, secure, and improve the Site and our tools;
  • Comply with legal obligations and enforce our agreements.

We do not sell your personal information.

3.Cookies & Analytics

We may use cookies and similar technologies, and third-party analytics services, to understand how visitors use the Site and to improve it. You can control cookies through your browser settings; disabling some cookies may affect how the Site functions. Where a third-party analytics provider is used, its handling of data is governed by its own privacy policy.

4. How We Share Information

We share information only as needed:

  • Service providers — vendors that host our Site, provide analytics, email, or IT services, and process data on our behalf under confidentiality obligations;
  • AI processing provider — see the QuickBooks Online section below;
  • Legal and safety — where required by law, regulation, legal process, or to protect rights, property, or safety;
  • Business transfers — in connection with a merger, acquisition, or sale of assets.

We do not sell personal information or share it for cross-context behavioral advertising.

5. QuickBooks Online Integration

EcoCosm operates a private, internal software integration that connects our own QuickBooks Online company to accounting tools through Intuit’s authorized API. This integration is used by authorized EcoCosm personnel and is not offered to the public.

6. Information accessed

When authorized through Intuit’s OAuth 2.0 consent flow, the integration may access accounting and business records in the connected QuickBooks Online company, including company profile and settings; lists and entities such as customers, vendors, employees, items, and accounts; transactions such as invoices, bills, purchase orders, payments, and journal entries; financial reports; and contact details contained in those records. It also stores the OAuth credentials needed to maintain the connection. We do not access data outside the connected company, and we do not collect Social Security numbers, full bank or card numbers, or government IDs through this integration.

7. How it is used and processed

Information is used solely to perform accounting and bookkeeping tasks requested by authorized personnel. The integration operates as an assistant-driven tool: to fulfill a request, data retrieved from QuickBooks Online may be transmitted transiently to an AI service provider (Anthropic) solely to interpret the request and return a result. This processing is transient and task-specific. QuickBooks data is not used to train AI models, is not sold, and is not shared for advertising. The integration maintains no separate, persistent database of your accounting data, and all API communication occurs over HTTPS/TLS.

8. Revoking access

A QuickBooks administrator can revoke the integration’s access at any time from the Intuit or QuickBooks Online account settings (Apps → Connected apps).

9. Data Security

We use reasonable administrative, technical, and physical safeguards to protect information, including access controls and encrypted transport. OAuth credentials for the QuickBooks integration are stored locally on EcoCosm-controlled systems and restricted to authorized personnel. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

10. Data Retention

We retain personal information for as long as necessary to fulfill the purposes described in this notice, to comply with legal obligations, to resolve disputes, and to enforce our agreements. QuickBooks records remain in the QuickBooks Online company and are governed by its retention settings.

11. Your Privacy Rights

Depending on where you live, you may have rights to access, correct, delete, or restrict the use of your personal information, or to opt out of certain processing. California residents have rights under the California Consumer Privacy Act (CCPA/CPRA), including the right to know, delete, and opt out of the “sale” or “sharing” of personal information (we do not sell or share personal information as those terms are defined). To exercise any right, contact us using the details below. We will not discriminate against you for exercising your rights.

12. Third-Party Links

The Site may link to third-party websites or services (including Intuit). We are not responsible for their privacy practices; please review their privacy policies.

13. Children’s Privacy

The Site and our services are directed to businesses and are not intended for children under 16. We do not knowingly collect personal information from children.

14. Changes to This Notice

We may update this Privacy Notice from time to time. Material changes will be reflected by updating the “Last updated” date above.

 

End-User License Agreement

EcoCosm QuickBooks Online Integration (“EcoCosm MCP”)

This End-User License Agreement (“Agreement”) is a legal agreement between you (“User” or “you”) and EcoCosm, Inc. (“EcoCosm,” “we,” “us,” or “our”) governing your use of the EcoCosm QuickBooks Online integration and related software (the “Application”). By installing, connecting, or using the Application, you agree to be bound by this Agreement. If you do not agree, do not use the Application.

1. License Grant

Subject to your compliance with this Agreement, EcoCosm grants you a limited, non-exclusive, non-transferable, revocable license to use the Application solely for EcoCosm’s internal business purposes in connection with an authorized QuickBooks Online company.

2. Restrictions

You will not, and will not permit others to: (a) use the Application other than as authorized; (b) copy, modify, distribute, sell, or lease the Application except as permitted by its license terms; (c) reverse engineer the Application except to the extent permitted by law; (d) use the Application to access data you are not authorized to access; or (e) use the Application in violation of any applicable law or of Intuit’s terms.

3. QuickBooks Online & Intuit

The Application connects to QuickBooks Online through Intuit’s authorized API. Your use of QuickBooks Online and the Intuit platform is governed by your agreements with Intuit, including the Intuit Terms of Service and Intuit Privacy Statement. Intuit is not a party to this Agreement and is not responsible for the Application. You are responsible for maintaining the accuracy of data in your QuickBooks Online company; the Application can create, modify, and delete records, and such changes affect your books.

4. Data & Privacy

Your use of the Application is also subject to our Privacy Policy, which describes how information is accessed and processed. You represent that you have the authority to connect the relevant QuickBooks Online company and to authorize the Application’s access to its data.

5. Intellectual Property

The Application, including all associated intellectual property rights, is and remains the property of EcoCosm and its licensors. Third-party and open-source components are licensed under their respective terms. No rights are granted except as expressly stated in this Agreement.

6. Disclaimer of Warrenties

THE APPLICATION IS PROVIDED “AS IS” AND “AS AVAILABLE” WITHOUT WARRANTIES OF ANY KIND, WHETHER EXPRESS, IMPLIED, OR STATUTORY, INCLUDING WITHOUT LIMITATION IMPLIED WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, AND NON-INFRINGEMENT. ECOCOSM DOES NOT WARRANT THAT THE APPLICATION WILL BE UNINTERRUPTED, ERROR-FREE, OR FREE OF HARMFUL COMPONENTS, OR THAT DATA WILL BE ACCURATE OR PRESERVED.

7. Limitation of Liability

TO THE MAXIMUM EXTENT PERMITTED BY LAW, ECOCOSM WILL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, OR FOR ANY LOSS OF PROFITS, DATA, OR GOODWILL, ARISING OUT OF OR RELATED TO YOUR USE OF THE APPLICATION. IN NO EVENT WILL ECOCOSM’S AGGREGATE LIABILITY EXCEED ONE HUNDRED U.S. DOLLARS (US$100).

8. Indemnification

You agree to indemnify and hold harmless EcoCosm from any claims, damages, or expenses arising out of your misuse of the Application or your violation of this Agreement or applicable law.

9. Term & Termination

This Agreement is effective until terminated. It terminates automatically if you breach it. EcoCosm may suspend or terminate the Application or your access at any time. Upon termination, you must stop using the Application; access to the connected QuickBooks Online company may be revoked. Sections 5–8, 10, and 11 survive termination.

10. Governing Law

This Agreement is governed by the laws of the State of California, without regard to its conflict-of-laws rules. The exclusive venue for disputes will be the state and federal courts located in the City and County of San Francisco, California.

11. Changes to This Agreement

We may modify this Agreement from time to time. Material changes will be reflected by updating the “Last updated” date above. Continued use after changes constitutes acceptance.
